Why Box needs you: We are seeking an experienced Benefits Analyst based in Poland to join our International Total Rewards team. With a growing employee population in Poland and a range of locally specific benefits and leave processes, Box needs dedicated in-country expertise to deliver reliable operational support, ensure statutory compliance, and provide an exceptional Box-on-Box experience. In this role, you will be the primary point of contact for Poland benefits and support leave administration while supporting broader EMEA/APAC initiatives. You will report to the Senior Team Manager and partner closely with People Partners, Payroll, Legal, Finance, and external vendors to deliver accurate, timely, and compliant benefits operations. You will also help identify opportunities to automate, simplify, document, and standardise processes. What you'll do: • Take day-to-day ownership of Poland benefits administration, acting as a key point of contact for Poland-based Boxers and managers on benefits eligibility, enrollment, policies and local programs. • Manage Benefits Service Desk cases through to resolution within agreed service levels, coordinating responses across Jira, email and Slack and escalating complex queries appropriately. • Support the full Boxer lifecycle, including benefits administration for new hires, employee changes and leavers, and deliver benefits induction sessions. • Provide trained administrative backup to the Leave of Absence Manager for Poland sickness, maternity, parental and other statutory and company-provided leave, maintaining accurate Workday records, trackers and supporting documentation. • Support routine employee and manager communications throughout the leave lifecycle, coordinating with People Operations, People Partners and Payroll, while escalating complex cases and return-to-work questions to the LOA Manager and relevant specialists. • Act as the Benefits team backup for the ZUS platform, supporting the reconciliation of statutory sickness and absence information with internal HR and payroll records. • Coordinate with benefit providers and vendors on enrollments, invoices, reconciliations, employee changes and issue resolution. • Support assigned EMEA/APAC benefits programs, including medical, risk insurance, pension, wellbeing and other local benefits, alongside primary responsibility for Poland operations. • Prepare and validate recurring benefits reports, vendor files and Workday uploads, including LuxMed files and assigned payroll, pension and leave-related reporting. • Partner with Payroll and Finance to deliver accurate benefits-related payroll inputs, invoice processing and reconciliations within agreed deadlines. • Maintain accurate benefits data across Workday, vendor platforms and internal records, completing regular audits, investigating discrepancies and coordinating corrections. • Coordinate Poland open enrollment and support all EMEA/APAC annual benefits renewals, maintaining timelines, employee communications, enrollment checks and follow-up actions. Support market reviews and benchmarking through data gathering and coordination with brokers and vendors. • Maintain benefits policies, FAQs, employee communications and process guides, documenting key controls, deadlines, ownership and escalation routes. Participate in cross-training and test backup procedures for critical activities. • Support reviews of relevant legislative and taxation changes with Benefits leadership and appropriate specialists, helping implement approved updates to processes and employee guidance. • Track service volumes, query themes, backlog and administrative effort, contributing to reporting that helps the team prioritize work, understand capacity and identify recurring issues. • Identify opportunities to simplify, standardize and automate benefits and leave processes using approved technology and AI tools, partnering with People Operations, Payroll and Enterprise Systems to test improvements and measure their impact. • Support the implementation of new or enhanced benefits programs, including testing, data validation, employee communications and operational handover, and contribute to wider EMEA/APAC Benefits projects as required. Who you are: We are an AI-first company. This means you approach your work with a growth mindset and find ways to leverage AI to help make faster, smarter decisions that will 10X your impact at Box. • Bachelor’s degree in HR, Finance, Business Administration, or equivalent practical experience, with 2–4+ years of hands-on benefits administration experience (preferably in a multinational technology or shared-services environment). • Solid understanding of Total Rewards fundamentals, statutory benefits, and leave administration (including Polish sickness, parental, and statutory absence practices; familiarity with ZUS, PPK, and local insured benefits is a strong advantage). • Professional fluency in both English and Polish (written and verbal) is required to navigate local-language portals, statutory documentation, and vendor relationships. • Hands-on experience with Workday is required; advanced proficiency in Microsoft Excel / Google Sheets (formulas, pivot tables, audits, and reconciliations) with rigorous attention to data accuracy. • Proven ability to partner effectively with external brokers/insurers (renewals, invoicing, escalations) and internal teams (Payroll, People Operations, Legal, and Finance). • Proven ability to manage recurring operational activities and resolve issues using established processes. • Strong organizational skills, with the ability to manage multiple priorities. • Comfortable working with sensitive employee information and maintaining confidentiality. • Self-starter with a passion for process optimization, documenting workflows, and identifying opportunities to simplify, automate, or scale manual operations.
